Job Summary:

The IT Software Asset Management (SAM) Analyst is responsible for managing the lifecycle of software assets, including licensing, renewals, compliance, vendor coordination, and contract governance. The role focuses on maintaining software inventory, optimizing license usage, ensuring audit compliance, and supporting business units with software requirements. The analyst will collaborate with procurement, IT, legal, and vendors to ensure effective software license management, cost optimization, and adherence to organizational policies.

Key Responsibilities:

• Manage and track software renewals using a renewal calendar.
• Coordinate with software vendors and publishers for quotations, purchase orders, and invoice processing.
• Review and administer software contracts to ensure proper documentation and coverage.
• Manage software lifecycle activities including licensing, maintenance, upgrades, utilization, and renewals.
• Ensure compliance with licensing agreements and audit requirements.
• Maintain the IT-managed software catalog and software repository.
• Analyze software usage, entitlement, and deployment data to identify optimization opportunities.
• Perform license reconciliation, license harvesting, and forecasting for software true ups.
• Maintain software entitlements and allocations for Tier-1 vendors such as Microsoft, Oracle, IBM, and Adobe.
• Collaborate with procurement, IT, legal, and business teams to align licensing strategies.
• Generate dashboards and reports on software usage, licensing compliance, and renewals.
• Conduct surveys related to software usage and customer satisfaction.
• Maintain documentation of software asset management processes and procedures.
• Support business units with software requirements across global teams.
• Monitor vendor performance and ensure contractual obligations are met.

Must-Have Skills:

• Minimum 3+ years of experience in Software Asset Management or Software License Management.
• Strong knowledge of software licensing models (per user, per device, concurrent, subscription, perpetual).
• Experience managing software renewals, license compliance, and vendor coordination.
• Experience managing the full lifecycle of software assets from procurement to retirement.
• Experience using platforms such as ServiceNow for software asset tracking, workflows, and request management.
• Experience coordinating with procurement teams for software purchases, renewals, and vendor interactions.
• Ability to track software usage and ensure compliance with licensing agreements.
• Strong stakeholder management and communication skills.
• Ability to analyze licensing data for compliance and cost optimization.
• Experience preparing reports or dashboards using tools such as Smartsheet or Tableau.
• Strong documentation and process management skills.
• Advanced Microsoft Excel skills.

Good-to-Have Skills:

• Experience with software license compliance audits.
• Knowledge of enterprise software publisher licensing structures.
• Experience with contract lifecycle management.
• Experience using procurement platforms such as Coupa for purchase order and procurement processes.
• Experience maintaining accurate records of software assets, licenses, and entitlements.
• Experience monitoring software renewals and coordinating renewal evaluations with stakeholders.
• Experience working in global IT environments with multiple stakeholders.
• Knowledge of EULA interpretation and licensing agreements.
• Exposure to IT asset management frameworks or IT governance processes.

Certifications (Preferred):

• Certified Software Asset Manager (CSAM)
• ITIL Foundation Certification
• Certified IT Asset Manager (CITAM)
• Microsoft Licensing Certification or similar vendor-specific licensing certifications
